KLOCKED is an employee time-tracking service provided by Black Ridge Systems.
This Privacy Policy explains what information KLOCKED collects, how that information is used, when it may be shared, and the choices available to customers and users.
KLOCKED does not sell personal information.
Information KLOCKED collects
KLOCKED collects the information needed to provide and support the service.
Account information
When an account is created, KLOCKED may collect:
- Name
- Email address
- Login credentials protected by the current secure credential-storage system
- Account role
- Company association
- Account and notification preferences
Company information
Company owners and administrators may provide:
- Company name
- Company contact information
- Departments
- Work locations
- Jobs
- Projects
- Time and overtime settings
- Time-off settings
- Employee and manager assignments
Employee information
A company may add information about its employees, including:
- Employee name
- Email address
- Employee code
- Department
- Work location
- Job or project assignments
- Account role
- Time-off information
Time and attendance information
KLOCKED stores information created through use of the time clock, including:
- Clock-in and clock-out times
- Paid and unpaid breaks
- Shift information
- Timesheets
- Overtime and double-time calculations
- Time-off and holiday hours
- Job and project time
- Correction requests
- Manager approvals and denials
- Notes related to time records
- A record of changes made to time entries
Payment and subscription information
KLOCKED uses Stripe to process subscription payments.
Stripe processes payment-card information. KLOCKED may receive and store limited billing and transaction information such as:
- Payment status
- Subscription status
- Payment date
- Transaction or subscription identifier
- Refund status
- Chargeback or dispute status
- Limited payment-method details provided by Stripe
KLOCKED stores Stripe webhook and billing-event records needed to keep subscriptions accurate. KLOCKED does not directly store full payment-card numbers.
Customer feedback and reviews
KLOCKED may invite company owners or administrators to provide feedback about the service.
Feedback information may include:
- Star ratings
- Written reviews
- Survey answers
- Feature requests
- Product suggestions
- Testimonial permissions
- Permission to display a person's name
- Permission to display a company name
- Permission to display a company logo
- Feedback opt-out preference
Submitting feedback does not automatically make it public.
KLOCKED will only use a review as a public testimonial when the appropriate permission has been provided and the review has been approved for publication.
Users may opt out of optional review and feedback requests. This does not stop important billing, security, account, or service messages.
Partner Program information
People who apply to or participate in the KLOCKED Partner Program may provide:
- Name
- Email address
- Business or brand name
- Phone number
- Audience information
- Promotion plans and support messages
- Partner password after approval
KLOCKED also stores information related to:
- Referral links and codes
- Referral clicks through partner links
- Referred signups
- Referred company accounts
- Commission status
- Payout status when payouts are recorded
- Refunds
- Disputes
- Fraud and abuse reviews
Partners do not receive customer payment-card information.
Information collected automatically
When someone visits or uses KLOCKED, the service may automatically collect technical information such as:
- IP address
- Browser type
- Device type
- Operating system
- Date and time of access
- Login activity
- Pages or screens viewed
- Session information
- Security events
- Error and performance information
- Referral source
- Campaign information
- Cookie identifiers
- Time-zone information
KLOCKED does not track employee movement or collect live employee GPS locations.
Work locations inside KLOCKED are labels used to organize employee hours and reports.
Cookies and similar technology
KLOCKED may use cookies and similar browser storage for:
- Keeping users signed in
- Protecting account sessions
- Remembering settings
- Operating application features, including shared-device time clocks
- Measuring site and application performance through server logs and error records
- Recording partner referrals
- Preventing misuse or fraud
When someone visits KLOCKED through a partner link, KLOCKED may store a referral identifier for up to 90 days.
This allows the referring partner to receive credit if the visitor creates an eligible new company account and pays for the first annual subscription.
A referral code may also be connected to the account during signup.
Referral tracking does not change the customer's KLOCKED price.
KLOCKED does not currently use advertising or retargeting cookies.
How KLOCKED uses information
KLOCKED may use information to:
- Create and manage accounts
- Operate employee clock-in and clock-out
- Record breaks
- Build timesheets
- Calculate configured overtime
- Process correction requests
- Manage time-off requests
- Create payroll-ready reports
- Manage subscriptions and payments
- Process refunds
- Provide customer support
- Send service notifications
- Protect accounts and prevent misuse
- Investigate fraud
- Improve the service
- Fix errors
- Request optional customer feedback
- Review testimonial permissions
- Track partner referrals
- Calculate partner commissions
- Process partner payouts when payouts are recorded
- Enforce KLOCKED policies and agreements
- Meet legal and financial recordkeeping requirements
KLOCKED does not use employee work-location labels to monitor employee movement.
How information may be shared
KLOCKED may share information only when reasonably necessary to operate and protect the service.
Information may be shared with:
- Stripe for payment processing
- Hosting and database providers
- Professional advisors
- Government authorities when legally required
Information may also be shared:
- With authorized users inside the same company
- At the direction of the company account owner
- When a user gives permission
- To investigate fraud, abuse, or security problems
- To protect KLOCKED, its customers, or others
- As part of a merger, acquisition, financing, or sale of the business
- When required by law or a valid legal request
KLOCKED does not sell personal information.
If advertising tools are later added that change this statement, this Privacy Policy should be updated before those tools are enabled.
Company access to employee information
The company using KLOCKED controls which employees and managers are added to its account.
Depending on their assigned role, authorized company users may view:
- Employee clock status
- Time entries
- Breaks
- Timesheets
- Correction requests
- Time-off requests
- Reports
- Records of changes
Companies are responsible for deciding who receives access and for handling downloaded reports appropriately.
KLOCKED does not control how a company uses information after it has been exported from the service.
Employees with questions about information entered or managed by their employer may need to contact the employer directly.
Data security
KLOCKED uses reasonable administrative and technical safeguards intended to protect account and company information.
These safeguards may include:
- Encrypted website connections
- Protected password and PIN storage
- Role-based account access
- Session security
- Login-attempt protection
- Restricted administrative access
- Payment-webhook verification
- Security and activity records
- Backups
- Monitoring and error logging
No online service can guarantee perfect security.
Users are responsible for protecting their passwords, PINs, devices, and account access.
Data retention
KLOCKED keeps information for as long as reasonably necessary to:
- Provide the service
- Maintain company records
- Support subscriptions and refunds
- Resolve disputes
- Prevent fraud
- Enforce agreements
- Meet financial and legal recordkeeping obligations
When a paid subscription ends, access may pause while existing company records remain stored for possible renewal.
Some information may remain in backups or business records for a reasonable period after an account is closed.
Payment, refund, commission, fraud, and transaction records may be retained longer when needed for accounting, legal, security, or dispute purposes.
Accessing or correcting information
Company owners and authorized users may update certain information through their KLOCKED account.
A person may also contact KLOCKED to request help:
- Accessing information
- Correcting inaccurate information
- Closing an account
- Deleting information where appropriate
- Receiving a copy of available information
- Asking a privacy question
KLOCKED may need to verify the requester's identity and authority before completing a request.
Removing a user's login does not necessarily remove historical employee time records connected to the company.
Some information may be retained when required for billing, legal, security, fraud-prevention, or business-record purposes.
Privacy choices
Depending on the account and role, users may be able to:
- Update account information
- Change notification preferences
- Opt out of optional feedback requests
- Decline testimonial permissions
- Control browser cookies
- Cancel future subscription renewal
- Request account closure
- Submit a privacy request
Opting out of optional feedback requests does not stop necessary billing, security, service, or account notices.
Privacy rights
Depending on where a person lives and which laws apply, they may have rights to:
- Request access to certain information
- Correct inaccurate information
- Request deletion of certain information
- Receive a copy of certain information
- Object to or limit certain uses
- Opt out of certain data sales or sharing
- Appeal a denied request
The rights available depend on the person's location, the type of information involved, and KLOCKED's legal and recordkeeping obligations.
KLOCKED may verify identity before completing a privacy request.
Children's privacy
KLOCKED is a business service and is not designed for children to create company accounts or use independently as consumers.
Businesses are responsible for ensuring that employee accounts are created and used lawfully, including when an employee is under the age of 18.
Changes to this Privacy Policy
KLOCKED may update this Privacy Policy when the service, business practices, or legal requirements change.
The Last Updated date at the top of the page will show when the policy was most recently revised.
Important changes may also be communicated through the service or another reasonable method.
